We handle personal information under the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR). If you are unhappy with how we use your information, please contact us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
What we collect
- Contact details: your name, phone number, email address and the address of the property.
- Enquiry and project details: what you tell us about the job, measurements, site notes, and photos or videos you send us or we take during a survey or installation.
- Quotes, invoices and payments: the quotes we send, what you accept, invoices, and whether they have been paid. We do not store full card details.
- Messages: emails, WhatsApp messages, texts and notes of phone calls with you.
- Safety and service records: details of the gates, automation and safety devices we fit or service, and the checks we carry out.
- Website data: your IP address, browser type and the pages you visit. We only use cookies to measure how you use the site, or for advertising, if you agree (see Cookies below).
Why we use it
To reply to your enquiry, survey the property, prepare a quote, carry out the installation or repair, and provide aftercare. Lawful basis: taking steps at your request before a contract, and performing the contract.
To keep tax and accounting records, and records showing that powered gates were installed and checked safely. Lawful basis: legal obligation.
To keep the website secure, stop spam, manage our records and follow up on quotes you have asked for. Lawful basis: our legitimate interests, balanced against your rights.
To use analytics and advertising cookies, and to show photos of your finished project in our gallery or on social media. You can withdraw your permission at any time. Lawful basis: your consent.
You do not have to give us your details, but we need your name, contact details and the property address to quote for and carry out work. Without them we cannot help with your enquiry. We do not make any decisions about you using only automated means. Software helps us sort messages and prepare drafts, but a person always checks them.
Who we share it with
We never sell your information. We only share it with companies that help us run the business, or where we need to. Our service providers work under contracts that require them to protect it. Some, such as Meta (WhatsApp), Google Ads, our accountant and insurers, are responsible for the information themselves under their own privacy policies.
- IONOS: hosts our website and our business email.
- Wordfence (Defiant Inc.): security software that checks visitors' IP addresses against known threats to protect the website.
- Broadstone Technology Ltd (DARCEY): the business software we use to manage enquiries, messages, quotes and invoices. It is run by a company owned by the same director. It uses OpenAI to help sort messages and prepare drafts, and every message, quote and invoice is checked by us before it is sent.
- Intuit QuickBooks: our accounting software, for quotes, invoices and payment records.
- Meta (WhatsApp): if you message us on WhatsApp.
- Google: reCAPTCHA on our contact form to stop spam, and Google Fonts. Google Analytics and Google Ads only use cookies if you accept them. If you reject, Google may still receive basic information without cookies (such as the page visited and your browser type), which it uses to estimate visits and advert results without identifying you.
- Elementor: provides the accessibility button on our website.
- Our accountant, insurers and professional advisers, where they need it to do their job.
- Equipment suppliers and manufacturers, only the details needed to order parts or deal with a warranty claim for your installation.
We may also share information if the law requires it, for example with HMRC.
Information sent outside the UK
Some of these providers, including Google, Meta, OpenAI, Intuit and Defiant, may process information in other countries, including the United States. Where that happens, the transfer is protected by UK adequacy regulations or by the UK International Data Transfer Agreement or Addendum.
How long we keep it
- Enquiries that do not go ahead: up to 2 years after our last contact, then deleted.
- Customer, quote and invoice records: 6 years after the end of the financial year the work was done in, as required for tax.
- Installation and safety records for powered gates: for as long as the installation may need servicing or a warranty or safety question could arise, normally at least 6 years.
- Website analytics: up to 14 months in Google Analytics.
Keeping it safe
Our website uses an encrypted connection, security monitoring and spam protection. Business records are kept in password-protected systems, and our providers are required to keep them secure.
Cookies
Cookies are small files saved by your browser. We only use non-essential cookies if you click "Accept all" on our cookie banner. If you click "Reject non-essential", only the essential cookies are used.
